WHEELS is a multi agency,
automated fleet management system. With WHEELS it is easy to determine which
vehicles are cost effective, what vehicle make and model has the best repair
record, and how much each department is spending on vehicle maintenance.
Department inventories and other reports can be easily created and reviewed
with or without hardcopy.
English language menus and prompts make WHEELS an easy to use system for non
technical personnel. Data entry is simple with a logical flow of fill in the
blank data fields. Built with a modular design, WHEELS has seven data files,
accessed separately, which combine for comprehensive information coverage of
vehicles without unnecessary repetition. Each module provides the user with
the ability to enter, alter and delete records, to do a field specified
search for records, and to create a variety of reports with timely and
accurate information about vehicle inventory, costs, and maintenance.

MODULES
VEHICLE INVENTORY
- The Vehicle Inventory module maintains records on each vehicle's
specifications, condition at purchase time, and warranty information.
Comprehensive data capture includes: agency code, department (such as fire,
rescue, etc.), assigned vehicle number, tag state and number, serial number,
year, make, model, style, color, driver's name, purchase order number,
acquisition date, mileage, value and cost, monthly rent, rent/lease terms,
vehicle's location, fuel type, sale date, sale price, sale mileage, warranty
information and vehicle maintenance terms. A General Maintenance schedule is
maintained, listing all parts and systems requiring maintenance.
Reports include an Inventory List by Acquisition Date, Inventory by
Department, Inventory by Make and an Individual Vehicle Report.
VEHICLE ACTIVITY - The Vehicle Activity module contains
records for each vehicle transaction. Data includes an automatically
generated record number, vehicle information which is drawn from the
corresponding Inventory record, the activity date, odometer readings, fuel
type, fuel cost, amount of fuel used, oil used, and the cost per mile. This
information is accessed in the report function to provide accurate
operational costs for the fleet.
Reports include Operational Cost Analysis by Department, Energy Usage
Analysis by Vehicle Make, Operational Cost Analysis by Vehicle Make, Vehicle
Activity Summary and a Daily Vehicle Control List.
WORK ORDERS - Dates, times and mileage in and out and a
listing of the problem, the mechanic who worked on it, the problem
resolution and the date worked on are entered for every maintenance or
repair ordered for the vehicle.
A report is available for printing or viewing, listing all of the above,
plus the name of the vehicle driver and vehicle identifying information.
VEHICLE MAINTENANCE/REPAIRS - The Vehicle Maintenance/Repairs
module maintains records on maintenance and repairs. Like the Activity
module, records for each vehicle are entered to monitor costs. Information
includes: agency, department, vehicle number and description, dates in and
out, repair type, report type, labor hours and cost, parts cost, total cost,
and repair site.
This module provides a window for listing each part used. As the part number
is specified, the corresponding description and cost is displayed.
Reports include Maintenance Cost Analysis by Department, Repair Cost
Analysis by Department and Vehicle Maintenance Requirements.
EQUIPMENT INVENTORY - The Equipment Inventory module tracks
all equipment as it is acquired and installed. The information maintained
includes: agency, department, assigned number, serial number, equipment
make, model, style and color, the source of purchase, purchase order number,
acquisition date, value, and cost, monthly rent, terms, location of
equipment, sale date and price, inspection interval and when the next
inspection is due. A narrative can be entered for a lengthy description or
discussion of the equipment.
Two pre-programmed reports provide List of Equipment by Inspection Date and
Equipment by Make.
PARTS INVENTORY - This module provides the agency with
inventory control of all parts. Information is kept on manufacturer name and
part number, description of the item, quantity on hand, reorder point, item
cost, markup, tax amount, total cost and what vehicles the part is used for.
The quantity on hand is updated as parts are used for maintenance and
repairs.
Reports are provided for Parts by Part Number, Parts by Manufacturer and a
Reorder List.
PARTS INVENTORY TRANSACTIONS - This module is used for parts
ordering, returns and writeoffs. Included are fields for purchase date,
order number, vendor name, address & phone number, quantity ordered,
returned or written off, unit and total costs, and invoice number.
A report listing all of the above is available on request.
PARAMETERS - WHEELS Parameters keeps track of the last numbers
used for Activity, Repair, Part Transaction and Work Order, and allows for
easily modified tax and labor rates.
